Before You StartLog in to your QuickBooks account. This guide's screenshots use QuickBooks' Accountant view, and we recommend using that view for initial setup — you can switch back to Business view afterward.
If your account is set to Business view:
- Click the Settings icon (gear) at the top right of the window.
- Click Switch to Accountant view at the bottom right of the Settings window.
Create or Confirm Your Accounts
- In the vertical menu at the left, click Accounting, then Chart of accounts. (You can also reach this through the Settings icon — in the "Your Company" column, click Chart of accounts.)
- Categorize each type of payment that will flow from your website into QuickBooks: Dues, Amenities, Events, and One-Time Charges. (Depending on your website plan, you may not receive payments in all four categories.)
- To create an account that doesn't already exist, open the New dropdown menu at the top right of the window.
- Click the Banks icon to designate the account type.
- From the Save account under dropdown, select or create the appropriate account category. Consult your accountant or bookkeeper on the correct designation.
- From the Tax form section dropdown, select the appropriate designation (again, confirm with your accountant/bookkeeper).
- Enter a name in the Account name field and a description in the Description field.
- Click Save.
- Repeat for each account category you need.
Make note of the exact names you use for each account — you'll need to match these names when you set up payment categories in your website's settings.
