What It DoesQuickBooks integration syncs your community's invoices and payments — dues, amenities, events, and One-Time Charges — so they appear automatically in a QuickBooks Online account.
Who Has Access
This feature is available to:
- Customers on the Premium and White Glove Package Plans.
- Any customer who opts in to it separately as an add-on.
Important Things to Know Before You Start
- The sync is one-directional, from your website to QuickBooks. If you make changes to payments or invoices inside QuickBooks, those changes will not flow back into your website software.
- Matching Member/Household data matters. If your residents' names, addresses, and other data already exist in your QuickBooks account, set up your website's Member and Household data to match. Otherwise, QuickBooks will create new, duplicated entries when invoice/payment data syncs over. If you're setting up a brand-new QuickBooks account, the data you sync across is what determines how QuickBooks lists your Members and Households.
- Only invoices and payments generated *after* you sync will appear in QuickBooks. This is a safety measure to prevent duplicating anything you already entered manually into QuickBooks. Invoices or payments dated before the sync will not appear.
- This does not mean you need to recreate your dues items, amenities, events, or One-Time Charges. An existing dues item that generates a new invoice after the sync will still appear in QuickBooks — same for new amenity payments, new event reservations, and new One-Time Charge payments on existing items.
