What Are Amenity Reservations?

Your community's amenities are the shared facilities and functions that members can reserve for their own use — think clubhouse rentals, pool cabanas, tennis courts, party rooms, or any other bookable community resource. HOA Start's Amenity Reservations feature lets members request use of these spaces directly through the community website, while admins manage everything from one place in the Admin Dashboard.

If you've ever asked "How do I book the clubhouse?" or "Where do I see what amenities are available?" — this is the feature that handles it.

 Who Uses This Feature

Members can:

  • Browse the list of amenities their community offers
  • Submit a reservation request for a specific amenity, date, and time
  • Track the status of reservations they've submitted

Admins can:

  • Set up and publish new amenity listings
  • Monitor incoming reservation requests
  • Approve, reject, or cancel reservations
  • Manage the reservation calendar for each amenity

 Common Member Questions

"How do I reserve an amenity?"

Members typically browse to the amenities section of the community website, select the amenity they want, and submit a reservation for an available date and time.

"Why hasn't my reservation been approved yet?"

Whether a reservation needs approval at all depends on how your community has set up that specific amenity. Admins can configure each amenity to either auto-approve reservations instantly or require manual review of every request. If the amenity you booked requires review, your reservation stays pending until an admin approves or rejects it; if it's set to auto-approve, it's confirmed the moment you submit it.

"Can I cancel a reservation I made?"

Yes — members can submit a cancellation request for their own upcoming reservation directly from the amenities page. This notifies your community admin, but it doesn't cancel the reservation immediately: the admin still has to act on the request, and there's no guarantee it will be approved.

"What if something gets damaged during my reservation?"

Admins have a dedicated workflow to resolve amenity damage fees tied to a specific reservation, so if a fee is assessed after your use of an amenity, that's handled through this same feature.
