How Do I Send Only One Invoice Per Household/Address?
Many communities allow every eligible individual to sign up for membership, which can mean two or more people from the same address hold individual accounts. But some dues and fees — like annual HOA dues — are meant to be billed once per address. If you don't want to set up the Households feature, use one of the three options below to make sure only one invoice per address goes out.
Option 1: Tag a Head-of-Household
Use this option if you want to keep allowing multiple members per household to have individual website accounts.
- Create a new tag to designate the member who should receive the invoice for a shared payment (for example, "head-of-household," "invoice-recipient," or "primary-member").
- Apply the tag to only one individual at each address — either manually, or by downloading your Member data, adding the tag to the correct records, and reimporting the data.
- When you create your dues item, open the "Select Applicable Member Groups" dropdown and choose the tag. This limits the dues item so it only invoices tagged members.
- It's helpful to ask members who in their household should receive and pay invoices, so invoices reach the right person.
- For more on creating and applying tags, see the Tags reference guide, visit the Help Desk, or open a support ticket.
Option 2: Limit Membership to One Per Household
Make website membership itself a self-limiting factor: allow only one membership per household, so multiple members of a family share a single membership. Once a primary member signs up from a household, don't approve membership applications from anyone else at that address.
Option 3: Import Data Instead of Self-Registration
Similar to Option 2, but instead of letting primary members register themselves:
- Download the CSV import template.
- Fill in the information for your primary members only.
- Add tags to the records so you can generate invoices.
- Import the results into your site.
Collecting Info for Other Household Members
If you use Option 2 or 3, you can still collect contact information for secondary residents at each address by creating custom fields on the Member Form.
