How do I manage an open Boardroom meeting?
Manage an Open Boardroom Meeting (Details, Comments, and Notes)
Once a Boardroom Meeting is scheduled, the Meeting Organizer and Boardroom Manager(s) can view its details, exchange comments, and record meeting notes/minutes, all in one place.
Step 1: Open the Meeting
- Find your meeting in the Boardroom summary list.
- Click the Actions column's three-dots menu.
- Select View Boardroom to open the "Boardroom Meeting" window.
Step 2: Review and Edit Meeting Details
On the left side of the "Boardroom Meeting" window, the Meeting Details section shows a summary of the meeting (name, organizer, managers, date, time, description, attendees, custom form, shared documents, and video conference link).
- The Meeting Organizer and Manager(s) can click the Edit icon (pencil) in this section to change any scheduled details.
- The Custom Form, Shared Documents, and Video Conference entries are linked so they open or download directly.
Below Meeting Details, the Attachments section lets Meeting Organizers and Managers upload (and delete) additional documents. Attachments added via Boardroom Manager Comments also appear here, and both the Organizer and Managers can access files uploaded here.
Step 3: Add Boardroom Manager Comments
On the right side of the "Boardroom Meeting" window, the Boardroom Manager Comments tab accepts comments and document attachments from Meeting Manager(s), used to capture ideas and outcomes before, during, or after the meeting.

Step 4: Record Meeting Notes
The Meeting Notes tab accepts notes and minutes before, during, and after the meeting.
- Only the Meeting Organizer can add or edit Meeting Notes. Boardroom Managers can view notes but cannot enter them. This restriction prevents multiple users from saving notes simultaneously and overwriting each other's entries.
- Use the Download Meeting Notes PDF link in this tab to export the entries.
Step 5: Refresh for Latest Entries
Click the Refresh icon (two arrows forming a circle) in the lower right corner of the Comments/Notes box to view the latest entries added by other users.
