What This Covers

Once you've created an amenity listing (a clubhouse, pool, tennis court, pickleball court, conference room, gym, etc.), you can go back at any time and change the terms, limits, fees, and availability that apply to it.

 How to Open an Amenity for Editing

  1. Click on the Features tab on the vertical Dashboard menu at the left side of the screen.
  2. Click on the Amenities tab.
  3. In the AMENITIES window, locate the amenity you want to edit.
  4. Open the Actions three-dots menu next to that amenity and choose Edit Amenity. This opens the AMENITY SETUP window.

Alternate route: Open the Actions menu and choose View Amenity instead, then click the Edit Amenity button at the top right of the window that opens.

 What You Can Change in Amenity Setup

The Amenity Setup window is organized into four sections you can revisit and update at any time — click the breadcrumb links at the top of the window (Information / Availability / Constraints / Exclusions) to jump between them.

  • Amenity Name and Amenity Description
  • Limited to – restrict the amenity to specific member tags or committee roles
  • Amenity Image – the photo shown to members during registration
  • Automatically approve new reservations? – set to "No" to manually review/approve each request, or "Yes" to skip approval
  • Will members be charged to use this amenity? – if "Yes," set whether the charge is Per Event (flat fee) or Per Person, the Registration Duration, and the Price Per Duration
  • Enable Service Fee – pass along credit card processing costs to members (a percentage plus a flat dollar amount)
  • Enable Damage Fee – add an optional post-reservation charge (up to a Maximum Damage Fee you set) to cover repair costs, with a description of what the fee covers
  • Reminder / Reminder 2 – automatic email reminders sent 1–2 hours, 1–3 days, or 1 week before a reservation
  • Max Capacity and Age Limit (both optional)
  • Application – attach a custom form members must fill out when reserving (e.g., to list guests or a caterer)
  • Amenity Document – an optional file members must download/acknowledge before reserving
  • Require digital signature for reservation?

 Availability (Days & Times Available)

Set which days of the week the amenity can be reserved, and whether the available hours are the same every day or vary by day.

 Constraints and Limitations

Optionally limit:

  • Number of reservations per timeframe (per day/week/month/quarter/year, either "rolling" from the member's last reservation or "static" to the calendar)
  • Limits on advance reservations – how far ahead a member can book
  • Amount of advance notice required for reservations – how far ahead a member must book
  • Pre- and post-reservation lockout time – downtime after a reservation before the next one can start
  • Member can reserve consecutive time slots

 Exclusions

Block out specific dates or date ranges (holidays, community events) when the amenity is unavailable, either all day or during specific hours.

 After You Save Changes

From the final summary screen you can also:

  • Click Access Management to control which Limited-Access Sub-Admins can manage this amenity.
  • Click Manage Amenity Emails to choose which Admins/Sub-Admins get notified of new reservation requests.
  • Click Back to Amenities to return to the full amenities list.
