What One-Time Charges Are For

One-Time Charges let your organization direct members and non-members to your community website to make non-recurring purchases. They're ideal for things like:

  • Replacing a security gate key or mailbox
  • Buying a pool pass
  • Paying sponsor fees

Prerequisite: To collect online payments, you must first set up your payment processing account on the Settings page. Stripe handles credit/debit and ACH payments, so members can pay by card or directly from a checking/savings account. (See the Stripe account setup guide for details.)

 How to Create a One-Time Charge

  1. Click the Payments tab, then the One-Time Charges tab.
  2. In the ONE-TIME CHARGES window, click + Add New Charge at the top right.
  3. Give the charge a descriptive Charge Name and a Charge Description with any details helpful to the purchaser.

 Setting the Price

  • Enter a fixed dollar Amount for a single purchase, or
  • Check Allow Flexible Payment Amount so one charge can serve multiple needs (purchaser enters their own amount).

 Sales Tax and Service Fees

  • To collect local sales tax, check Collect Local Sales Tax (optional) and enter the percentage for your area.
  • Stripe (the third-party payment processor) subtracts its own fees from the collected total when you accept online payments. The values shown serve as defaults when you enable the service fee.
  • Check Enable Service Fee to pass those fees through to members as part of the item's cost. If left unchecked, service fees are deducted from the face value of the payment you receive.

 Other Options

  • Check Allow multiple purchases per transaction (optional) to let the purchaser increase the purchase quantity.
  • Add an optional photo or logo. It displays at a 2:1 width-to-height ratio (a horizontal/landscape image is recommended) and appears directly above the charge description on the public website.
  • To require purchasers to fill out a form at checkout (for extra details or required info), select a form from the Information Form (optional) dropdown. Admins receive a copy of each form submission.
  • QuickBooks integration (if synced): use the QuickBooks Account dropdown to choose a specific QuickBooks Account Name for this charge, overriding your Account > Settings default. Leave it unchanged if you don't want to override the default. Not all customers have QuickBooks integration access.
  • Allow non-member payment: check this box to make the charge available to any website visitor (useful for public events/fundraisers), or leave unchecked to restrict it to community members only.
  • Check Activate One-Time Charge when you're ready for it to go live.

 Click Save once all setup entries are confirmed. 

 How to Add the One-Time Charge to a Website Page

  1. In Site Setup, click Add Page in the vertical menu (or the "Add Page" link below the last page in an existing submenu) to open the New Page window.
  2. In the Page Template dropdown, choose One-Time Charges.
  3. Name the page and set the desired page-access permissions.
  4. Click Add to save.

 Displaying the Charge on the Page

  1. On the new page, hover over the widget you want to edit and click Edit One-Time Charge.
  2. Select your item from the dropdown list.
  3. Choose a column width for the widget — 1/3, 1/2, or full size. Included images scale proportionately to the width selected. For multiple items on one page, 1/3 or 1/2 size is recommended.

 Handling Unused Widget Rows

  • To hide unused extra rows: click Widget Settings and select Hide Widget. Hidden rows show a gray overlay in Site Setup and won't appear on the live page — you can reactivate them later if you add more charges.
  • If unused rows are not hidden, they display as blank vertical space on the public website.
