How Do I Create a New Vendor in Financials?
In the Financial system, a vendor is any entity your organization maintains an account with — a checking, savings, or credit account at a financial institution, or a purchase account at a service provider or retailer.
Steps to Create a New Vendor
- Click the Financials tab, then click the Vendors tab to open the VENDORS summary screen.
- Click the + Add New Vendor button at the top right of the window.
- In the ADD VENDOR DETAILS window, fill in the fields. All fields are optional except Vendor Name and Default Account.
- Enter a descriptive Vendor Name and an optional alternate Display Name.
- Click the Default Account dropdown and select the appropriate parent account or sub-account.
- If the account you need isn't listed, click + Add New Account next to the dropdown and use the inline field and Add button to create it.
- Enter the vendor contact's name, email address, and primary/secondary phone numbers.
- If the vendor has assigned your organization an alphanumeric code or number, enter it in Reference Number.
- Enter the vendor's EIN (Employer Identification Number) if you need to track payments for IRS Form 1099 reporting. Activate Track for 1099 to have the system track these transactions.
- Enter the vendor's Website URL, and, if applicable, the Department your organization typically works with.
- Select the Country from the dropdown, then enter the address (up to two lines), city, state/province/region, and ZIP/Postal Code.
- Enter any additional details in Additional Notes.
- To attach files, click Add File Attachments and select one or more files (up to 15 MB each). Shift-click to select multiple files, then click Open.
- To add a vendor logo, click Upload New Image next to Vendor Image and select a GIF, JPG, or PNG file up to 15 MB.
- Click Save when finished.
