Create Full-Access or Limited-Access Sub-Admin Roles

Many HOA Start features let you assign a Sub-Admin role so a member can take on specific administrative duties without becoming a full Admin. There are two types of access a role can grant for a given feature: full access and limited access.

Full Access vs. Limited Access

  • Full-access sub-admin: can work on every item within the feature they're assigned to. Example: a full-access sub-admin assigned to Custom Forms can create, edit, and manage submissions for any form.
  • Limited-access sub-admin: can only work on the specific item(s) they're individually assigned to within the feature. Example: a limited-access sub-admin assigned to Custom Forms can only work on the specific form(s) you separately grant them access to.

Which Features Support Both Access Levels

Choosing between full and limited access is only possible for these features:

  • Amenities
  • Calendars
  • Committees
  • Custom Forms
  • Document Repository
  • Events
  • Surveys and Polls
  • Ticketing System

Features That Are Always Full Access

These features don't have individually divisible items, so any sub-admin assigned to one automatically has full access to it:

  • Boardroom
  • Help Desk
  • Member Form
  • Members
  • Newsfeed
  • Site Setup
  • Sponsorships
  • Violations

Setting Access Level When Creating or Editing a Role

  1. If the role includes one or more features that support both access levels, the SUB-ADMIN ACCESS MANAGEMENT window opens automatically after you click Save Sub-Admin on the role (see Create a Sub-Admin Role or Edit a Sub-Admin Role).
  2. For each such feature, choose Full Access or Limited Access for the member(s) assigned to that role.
  3. Click Save to finish, or Cancel to back out.

Assigning a Limited-Access Sub-Admin to a Specific Item

Choosing Limited Access above only grants an access level — you still need to grant the sub-admin access to the specific item(s) they should be able to work on:

  1. Open the individual item you want to grant access to (for example, one specific amenity, calendar, custom form, or document folder).
  2. In that item's Actions column, choose Access Management.
  3. Check the box next to the name of the sub-admin you want to grant access to.
  4. Click Save to finish, or Cancel to abandon the change.
