Can I map payment categories to QuickBooks Online?

Map Payment Categories to QuickBooks Accounts

Before You Start

Make sure you've already connected your website to QuickBooks (see "Connect Your Website to QuickBooks").

 Steps

  1. Click the Account tab on the vertical Dashboard menu at the left side of the screen.
  2. Click the Settings tab.
  3. In the SETTINGS window, activate the Enable QuickBooks toggle switch. A QuickBooks ID code appears, confirming your account is connected.
  4. Click each of the four payment-category dropdown menus — Dues Payments, One-Time Charge Payments, Amenity Payments, and Event Payments — and select the QuickBooks Account Name that should receive that category's synced data.
    • The system automatically pulls in your QuickBooks "Banks" accounts and lists them in these dropdowns.
    • You can override these defaults later when setting up individual dues items, One-Time Charges, amenities, or events, syncing that specific item to a different QuickBooks Account Name.
    • More than one payment category can point to the same QuickBooks Account Name.
    • Consult your accountant or bookkeeper on the correct assignments.
  5. Click Save Changes to finalize your settings.

Note: You must set up these payment categories for your invoices and payments to sync to QuickBooks at all. Invoice and payment data generated before you set up these categories will not be recorded, allocated, or categorized in QuickBooks.
