Can I bulk import resident back balances or credits?
How Do I Import Household Wallet Balances and Invoices via CSV?
The same import file can bring in both negative amounts (which automatically create and e-mail one-off invoices) and positive amounts (which become Household Wallet balances/store credit that members can use to pay regular or one-off invoices).
Note: If you import a negative amount for a specific Household, do NOT also create a manual invoice for that amount — doing so creates duplicate billing.
Steps
- Click the Households tab, then the Households tab below it, to reach the HOUSEHOLDS window.
- Click Households Actions to open its dropdown menu.
- Select Import Invoices or Balance to begin.
- In the HOUSEHOLD WALLET IMPORT window, click +Import Household Transactions.
- Click Download Import Template to get the CSV template.
- Fill in the template:
- Positive values create Household Wallet balances (credit).
- Negative values create and send one-off invoices.
- The Notes column is optional.
- Enter True/False, Yes/No, or 1/0 in the Is Paid field on negative amounts to have the resulting one-off invoices automatically marked Paid.
- Click Browse to select your completed file. The IMPORT WALLET DATA window shows the selected filename.
- Enter payment Terms and set the Due Date — these settings apply only to negative amounts that become one-off invoices.
- Click View Summary to upload the file and let the system review your data.
- The HOUSEHOLD WALLET TRANSACTIONS IMPORT SUMMARY window shows how many records will or won't import successfully.
- If the summary looks correct, click Import to finish. Click Close instead if you need to adjust your import file first.
